TRAVELMATESZA BOOKING TERMS AND CONDITIONS
Bookings
TRAVELMATESZA will only confirm any booking(s) once a non-refundable deposit is paid and reflects on TRAVELMATESZAâs business account.
TRAVELMATESZA accepts cash or EFT transactions deposited into its business account(s), subject to the client(s) providing proof of payment when requested to confirm that the transaction reflects on TRAVELMATESZAâs account(s) listed below:

Payment Terms
All services must be paid in full prior to booking confirmation.
Payment must be cleared and verified by TRAVELMATESZAâs bank before any ticketing, hotel reservations, or service confirmations are issued.
Standard clearing time is 3â5 business days for wire transfers and up to 2 business days for card payments.
Non-Refundable Policy
Once a booking is confirmed, all payments are non-refundable unless otherwise stated in writing.
Airline tickets, hotel bookings, and tour packages may carry individual terms which will also apply.
Fraud Prevention
The Client affirms that all payment methods used are legitimate, authorized, and not associated with any fraudulent activity.
If any payment is reversed, disputed, or found fraudulent after booking confirmation, the Client remains fully liable for the full cost of services booked and any associated penalties.
Client Verification
TRAVELMATESZA may request valid identification and/or official authorization letters to confirm the Clientâs identity before processing any bookings.
Limitation of Liability
TRAVELMATESZA acts only as an intermediary between the Client and the service providers (airlines, hotels, activity providers, etc.) and is not responsible for acts or omissions of third parties.
Payments, Refunds and Cancellations
Deposits
All RESERVATION deposits paid to TRAVELMATESZA are strictly non-refundable, under any circumstances, including cancellations, changes of mind, or travel disruptions.
This is because deposits are immediately used to secure non-refundable airline tickets, accommodation, and service contracts with third parties.
Cancellation Penalties
If the Client cancels a fully paid booking, the following sliding scale of cancellation fees will apply (based on the date written notice of cancellation is received):
More than 60 days before departure: 15% of the total package price (excluding RESERVATION deposit).
45â59 days before departure: 35% of the total package price (excluding RESERVATION deposit).
28â44 days before departure: 40% of the total package price (excluding RESERVATION deposit).
14â27 days before departure: 60% of the total package price (excluding RESERVATION deposit).
Less than 14 days or no-show: 75% of the total package price (excluding RESERVATION deposit).
Supplier Conditions
In some cases, third-party suppliers (such as airlines, hotels, or tour operators) may impose stricter cancellation conditions than those stated above.
If so, their policies will override TRAVELMATESZAâs sliding scale and will apply in full.
No-Show or Missed Departure
Clients who fail to board their flight/bus or miss their scheduled departure for any reason will be considered a no-show. No refunds will be issued, and a 75% cancellation fee will apply.
Refund Processing
Where applicable, refunds (after deduction of all applicable cancellation fees and supplier charges) will be processed within 60 business days from the date TRAVELMATESZA confirms the refund in writing.
Client Responsibility
By making a booking with TRAVELMATESZA, the Client agrees to these cancellation conditions and acknowledges that unexpected events (illness, emergencies, visa refusal, or travel bans) do not automatically entitle the Client to a refund unless specified in writing by TRAVELMATESZA.
Travel Information
All relevant travel documents are only prepared and released upon full payment.
The Client must review all documents upon receipt and contact TRAVELMATESZA if there are any discrepancies.
The Client is responsible for carrying correct government-issued ID when boarding a flight.
Names, dates of birth, and gender on ID must exactly match booking information to avoid boarding issues.
Passports, Visas and Health
The Client must ensure that all passports and visas are current, valid, obtained on time, and valid for six months after return. The Client must also meet any vaccination or health entry requirements.
Special Requests
While TRAVELMATESZA will attempt to accommodate special requests, such as dietary or mobility needs, these are not guaranteed unless confirmed in writing.
Amendments of These Conditions
No amendment, cancellation, or waiver of any term shall be valid unless reduced to writing and signed by both the Client and an authorized representative of TRAVELMATESZA.
Legal Fees
The Client agrees to pay all legal fees incurred by TRAVELMATESZA on an attorney-and-client scale should it be necessary to enforce any of its rights.
Force Majeure
TRAVELMATESZA is not liable for non-performance due to "force majeure" events beyond its control, including but not limited to war, terrorism, civil strife, weather conditions, epidemics, natural disasters, or government-imposed lockdowns.
COVID-19/Similar Abrupt Challenges
In the event of government-mandated lockdowns or travel restrictions (e.g., COVID-19), TRAVELMATESZA will offer alternative travel dates. Clients may select from two (2) proposed new dates. Refunds are not issued under such circumstances.
TRAVELMATESZA is not liable for losses, expenses, or damages arising from sickness, quarantine, weather, or other causes outside its control.
Attractions/Activities
By using TRAVELMATESZA's products, the Client agrees:
TRAVELMATESZA, its directors, employees, and/or agents are not liable for service deficiencies, admission problems, public health violations, or injuries arising at any third-party facility.
TRAVELMATESZA is not responsible for traffic conditions or weather that affect travel plans.
Attraction operating hours, availability, and access may change. The Client must verify these details directly with the service provider prior to travel.
Errors in pricing or descriptions may occur, and TRAVELMATESZA reserves the right to correct these errors or cancel orders as necessary.
Acceptance of Terms
By proceeding with a booking, the Client acknowledges they have read, understood, and agreed to all of TRAVELMATESZAâs Terms and Conditions.
